What This Does

Copilot in PowerPoint turns a short list of uptime, ticket, and patch numbers into a first draft of QBR slide talking points, the deliverable that otherwise starts from a blank deck every quarter for every client.

Before You Start

  • You (or the client, if you present inside their tenant) have Microsoft 365 with the Copilot add-on enabled. This is a paid license layered on top of a Microsoft 365 subscription, not something every plan includes automatically. Check the vendor's Microsoft 365 Copilot pricing page for current cost, or look for the Copilot icon in PowerPoint's slide area to confirm it's turned on for your account
  • PowerPoint desktop or PowerPoint on the web
  • This quarter's uptime, ticket volume, and patch compliance numbers pulled from your PSA or RMM export, with any specific ticket text or end-user names stripped down to counts and categories

Steps

1. Open a blank presentation and find Copilot

Start a new presentation and look for the Copilot icon in the bottom right corner of the slide area. Clicking it opens a chat pane on the right side of the window. If you do not see the icon, the add-on likely is not licensed for your account. Ask whoever manages the Microsoft 365 tenant to check.

2. Describe the deck you need

In the chat pane, look for an "Add Content" option in the input box and choose Agent Mode for a full draft build. Then describe the QBR in plain language: the client, the quarter, the overall status, and the metrics slide by slide. Copilot may ask a clarifying question about audience or style before it drafts anything.

3. Review the outline before slides get built

Copilot proposes an outline first. Add or remove sections here. This is the cheapest point to fix structure, before the outline turns into five or six fully written slides.

4. Generate and refine

Once the outline looks right, tell Copilot to build the slides. Click into any individual slide and give it a targeted instruction, such as tightening the executive summary to three bullets or turning a risk list into a red, amber, green table.

Real Example

Scenario: A 40-employee retainer client's Q3 QBR is due Friday. Your PSA export shows 99.7 percent uptime, 62 tickets closed, average resolution time of 4 hours, and 94 percent patch compliance, with one recurring printer issue at their satellite office.

What you type: "Draft a 4-slide QBR for a 40-employee retainer client, Q3. Slide 1: executive summary, overall status green. Slide 2: uptime 99.7%, 62 tickets closed, average resolution 4 hours. Slide 3: patch compliance 94%, one open item, a recurring printer issue at the satellite office. Slide 4: next-quarter roadmap placeholder for a firewall refresh discussion."

What you get: A four-slide draft with a title, a status line, and talking points grouped under each metric, ready for you to add your own framing before the call.

Tips

  • Paste the raw export numbers directly into the prompt rather than summarizing them yourself first. Copilot does the summarizing, that is the point of using it here.
  • Before presenting, check every number on the slide against the PSA export you copied it from. Copilot cannot verify your figures. It only reflects what you typed.
  • If a slide comes back too generic, add specifics in a follow-up message instead of starting over. Copilot updates just that slide.
  • Save a version of the prompt structure that works for your typical client so each quarter's QBR only needs new numbers, not a new approach.

Tool interfaces change. If a button has moved, look for similar AI/magic/smart options in the same menu area.
